Job Description
Position: Coordinator, Sales and International Tourism
Department: Sales (06)
Exemption Status: Non-Exempt
Position Reports to: Director, International Tourism Sales & Vice President, Sales
Location: In-person position working in the Atlanta office (option for 1 remote workday per week)
General Description
The coordinator, sales and international tourism is responsible for assisting multiple managers
with selling and marketing Atlanta and Georgia as a destination to corporate groups,
associations, trade shows and conventions utilizing greater than 1200 rooms on peak night.
In addition, this individual coordinates trade show exhibits and industry events while
maintaining sales process logistics for designated trade show accounts. The coordinator will
also support ACVB’s involvement with international trade shows, familiarization (FAM) trips and
sales missions, as well as provide overall administrative support for the sales and international
tourism departments.
Primary Responsibilities
(include, but are not limited to)
Sales
- Qualify leads to include identification of group schedule, room night needs and convention center space
- Send leads to hotels and convention center, execute appropriate follow-up
- Assist with preparing bid presentations for destination/site selection committee
- Distribute definite booking and lost information to all parties involved in the lead process
- Maintain schedule and travel itineraries for managers
- Prepare sales kits
- Coordinate logistics for Wednesday Morning Meetings
Trade Shows & Industry Events
- Coordinate planning process for trade show and industry events (exhibit setup, collateral, etc.)
- Organize pre-planning and post show meetings
- Coordinate ACVB participation at industry events and trade shows
- Assist in preparing sales presentations for domestic and international sales missions
- Translate presentations and other collateral for sales missions and tradeshows
Familiarization Groups/Site Inspections
- Coordinate planning process for international familiarization (FAM) tours (create itineraries, secure accommodations, secure services, etc.)
- Follow-up on post FAM requests and facilitate next steps in FAM trip business opportunities
- Manage feedback and survey for post-FAM groups
- Assist with coordinating customer site inspections (Tradeshow Sales)
Administrative
- Manage collection of all in-kind services and forms
- Document all account details and activity in CRM
- Assist with maintaining programs, projects, and department expenses according to ACVB guidelines
- Manage requests for information and services from global accounts
- Provide additional support department projects according to ACVB guidelines
- Develop and maintain communications and written materials for the international department
Management
- Manage international interns and their respective projects
Other Related ACVB Activities
- Maintain a positive working relationship with ACVB members
- Maintain current knowledge of member hotels (inventory), venues, restaurants, attractions, etc.
- Attend ACVB, member, and hospitality related events as directed
- Stay up-to-date with hospitality industry trends
Qualifications
Education
- High school required; college degree preferred
Work Experience
- Experience in an office support role; hospitality experience preferred
Knowledge, Skills, and Abilities
- Strong communication skills (oral and written)
- Strong sense of time management with the ability to take initiative, work well under pressure and meet deadlines
- Proficient in Microsoft Office and CRMs
- Proficiency in foreign language preferred (Spanish, Portuguese, Japanese, Korean, or Chinese/Mandarin)

Additional Information
Work hours
- Monday – Friday (moderate early morning, late evening, and weekend work)
Work environment
- Standard, temperature-controlled office environment with moderate, office noise level
- During FAMs, site visits and special events, work environment changes depending on location: hotel, restaurant, convention facilities, airplane, and related travel and event venues
